Position: Museum Administrative Assistant
The Administrative Assistant assists the Board of Directors in the day to day operation of the Museum. The incumbent serves as the volunteer’s, city staff and the public’s first and consistent contact with the Society and reports to the Board of Directors through the President.
The Port Coquitlam Heritage and Cultural Society (PoCo Heritage) operates a small museum and archives located in Port Coquitlam. Our programming is varied and for all ages. We participate in community events and host a variety of fundraising activities throughout the year.
The position will average 32.5 hours per week, generally Tuesday to Saturday, with some flexible hours, as required. The pay rate is $18.00 per hour plus 4% in lieu of vacation pay. There are no other benefits.
Responsibilities:
Market, promote, advertise museum events and manage social media
Respond to telephone, email, written and general inquiries
Develop programs and activities
Liaise with City of Port Coquitlam staff
Prepare reports as required
Assist with volunteer management
Assist with research requests
Assist with evaluation of records and artifacts for preservation and retention
Assist with cataloguing collections and managing information and records
Assist with digitization of archival documents
Other duties as assigned
Qualifications:
High level of computer literacy including spreadsheets and word processing in a Windows Microsoft Office environment
Graphic design and production of promotional material; brochures, banners, flyers, posters, etc. in Adobe Design Suite
Excellent English oral and written communication skills
Proficiency with social media (e.g. Facebook, Twitter, Instagram) and MailChimp email newsletters
Outstanding organizational skills and attention to detail
Able to work independently and in a team environment
Exceptional interpersonal skills
Able to build positive working relationships with PoCo Heritage Board, City staff and volunteers
Demonstrated ability to provide exceptional customer service
Enjoys working with the public
High level of professionalism and diplomacy
Reliable and punctual
Able to lift and carry boxes and supplies up to 20lbs at a time
Able to climb ladders and reach overhead
Drivers’ license and access to a vehicle
Desirable skills:
Bachelors degree in a related field or relevant experience
Grant writing experience
Bookkeeping experience
First Aid
Fluency in a second language would be beneficial
Note:
A Police Record check is required prior to employment
References required
